Refund & Cancellation Policy

At Cahaya Adipati Tour & Travel, we understand that travel plans may change. However, as a professional tour operator working with drivers, activity providers, boat operators, and third-party vendors, we must apply clear cancellation terms to protect operational commitments.

Cancellation terms may vary depending on service type, seasonality, supplier requirements, and specific agreements made with the guest.

If special cancellation terms are stated in the invoice or written confirmation, those terms will override the standard policy below.

1. Standard Cancellation Guidelines

(If No Special Written Agreement Is Stated)

• Cancellation 30 days or more before the service date → 0% cancellation fee (Full refund)

• Cancellation 15–29 days before the service date → 20% cancellation fee

• Cancellation 8–14 days before the service date → 50% cancellation fee

• Cancellation 7 days or less before the service date → 100% non-refundable

• No-show or same-day cancellation → 100% non-refundable

Refunds (if applicable) will be processed within 7–14 working days.

Bank charges, transfer fees, currency exchange differences, and third-party transaction fees are borne by the guest.

2. Vendor & Third-Party Commitment Clause

Some services involve advance payments or confirmed allocations with third-party suppliers, including but not limited to:

• Boat transfers

• Water sports activities

• Entrance tickets

• Special attraction tickets

• Jeep tours

• Snorkeling or diving tours

• Peak season vehicle reservations

• Hotels

• Partners

For these services, deposits or full payments made to vendors are strictly non-refundable unless otherwise agreed in writing.

In such cases, stricter cancellation terms may apply.

3. Flexible Arrangement Policy

Cahaya Adipati Tour & Travel reserves the right to offer alternative solutions at its sole discretion, such as:

• Rescheduling (subject to availability)

• Travel credit

• Partial refund

This flexibility depends on vendor policies, operational feasibility, and timing of the cancellation.

We are not obligated to provide refunds outside the stated cancellation structure unless agreed in writing.

4. Special Agreement Supremacy Clause

Any special cancellation arrangement, promotional condition, or negotiated flexibility must be clearly stated in the official invoice or written confirmation.

If a specific agreement is documented in writing (email, WhatsApp confirmation, or invoice note), that documented agreement will prevail over the standard policy.

Verbal discussions are not considered binding unless supported by written proof.

5. Force Majeure

In the event of circumstances beyond reasonable control, including but not limited to:

• Natural disasters

• Government restrictions

• Severe weather conditions

• Political unrest

• Pandemic-related regulations

We will handle each case individually and attempt to provide rescheduling or alternative solutions. Refunds in such cases will depend on vendor policies and non-recoverable operational costs.

This policy is designed to be fair to both parties while ensuring operational sustainability and vendor commitments are respected.
